Start with the group’s use of the yacht

Describe the day you want before choosing from boat images. A relaxed outing with shade and conversation is different from a celebration where the group wants space to socialize, food service and music. Tell the planner whether privacy, layout, comfort, scenery or a particular occasion is the priority.

Share the confirmed guest count and any boarding or accessibility requirements. Advertised capacity alone does not tell you how comfortable the group will be in the usable guest areas. Ask which spaces will be available during the charter and whether everyone can be seated or sheltered in the way your group expects.

Compare the usable layout, not just the yacht photo

Ask the operator to annotate current photos or a layout for your actual group. A passenger limit answers a capacity question; it does not show how guests will use the space together.

• Meal together: identify enough usable places for the planned service, the serving area and what remains available while crew work.
• Social celebration: identify the shared gathering area, the agreed music setup and routes that must stay clear. Do not count separate decks as one continuous party space.

Ask which route or stops are proposed and which are conditional. The booked time, operating area, weather and sea conditions affect what can be delivered. A private charter does not guarantee a particular swimming stop or permission to reach any destination the group chooses.

Confirm who makes the go/no-go decision, when guests will be informed and what the booking terms provide if the plan changes. Choose a land-based alternative that fits the occasion if a boat day is the main event of a short trip. Agreeing on a fallback early is easier than arranging one after guests are ready to leave.

Connect transfers and the rest of the itinerary

Use the operator’s exact departure address when planning pickups. Share guest locations and the required boarding time with the transport coordinator. Confirm whether all guests travel together and how the return is handled if someone needs to leave the wider day’s itinerary early.

Leave time after the charter for food, rest and getting ready before an evening booking. Avoid promising a tight connection between the boat’s return and a fixed reservation until the local coordinator has checked the full sequence. A smooth yacht day includes the journey to and from the vessel.

Read the proposal as a complete booking

Check each selected service against the brief and list anything not included. Confirm the payment schedule, guest-change deadlines and who is responsible for communicating changes. Ask whether additional time or services require a separate approval instead of assuming they can be added on the day.
